Recently, Hawaii was hit by unexpected tornadoes, hail and thunder and lightning—weather events that are rare for the islands. Tornadoes are more common on the continental United States, with foreseeability resulting in better preparedness. Hopefully, your sports facility did not suffer any damage from the tornadoes that recently struck Kentucky, Indiana and Alabama. Even if your area is not accustomed to experiencing weather events such as tornadoes, consider that tornadoes have even struck Hawaii when doing your disaster planning.

Weather and Natural Disaster Risk Assessment
In assessing your organization’s weather and natural disaster risks, identify what possible weather related risks that your facility faces. Once those risks have been listed, the likelihood of such risks should be assessed. For example, your region may have frequent lightning storms, intermittent hurricanes and tornadoes, and very infrequent cold spells. Your risk management planning should focus on lightning storms, tornadoes and hurricanes, by developing detailed action plans for such events. Addressing cold spells should be a lower priority.

Insurance should always be the solution of last resort for managing risk. It is far more important to prevent, control, and reduce potential losses to protect the campers, staff, camp and operators/owners.

A camp program should be based upon industry principles and practices, compliant with applicable regulations and laws and meeting or exceeding standards of reasonable and appropriate professional care. Development of a comprehensive and cost beneficial insurance program should be based upon thorough description of the camp program (campers, staffing, activities, facilities, location, policies and procedures, etc.) to the insurance agent/broker.

Insurance for a camp operated by college or university department or program may be provided all or in part by the institution. It is critical that the activities and exposures of the camp are reviewed in detail with the campus Risk Manager not only to ensure that the camp is conducted according to campus policies and procedures, but also to identify gaps and obtain insurance which the campus may not have in place.

Does your organization use motor vehicles to transport athletes, spectators or others? If so, it is essential for risk management planning to make sure that such vehicles are fully insured in compliance with applicable law. It is a good idea to talk with your insurance agent or broker about the insurance policies that have been purchased in order to ensure that there is sufficient coverage. Policy exclusions should be scrutinized to determine if there will be coverage for the uses of the motor vehicles in question. You will also want to make sure that policy limits are high enough to cover your organization in the case of a catastrophic accident.
